Obtaining a copy of a certificate

All birth, death and marriage certificates for this district are held by Cumbria Certificate Services based in Carlisle.

Copy certificates may be ordered in the following ways:

Online:

You can 'get a copy certificate' online 24/7 using a debit or credit card in your name and registered to your address.  The standard certificate will be issued within 15 working days (In Cumbria we endeavour to issue within 10 working days) and once issued, posted out to you by Royal Mail Service.  Please note we also provide a priority service if required.

We are available to take your order over the telephone between the hours of 9am and 4pm Monday to Friday.

During periods of high call volumes you may receive an answer machine message, please leave your details and be assured a member of the team will return your call as soon as possible.

Please note you cannot order certificates by e-mail and under no circumstances should you put credit/debit card details in an email.

Please note if we are unable to locate the record and issue the certificate a full refund will be made.

If you have paid in cash for your certificate and we are unable to find the entry,  you will be required to collect the cash from the office where the payment was made as we are unable to post out cash in the post.

 

 

Online and telephone orders: - Payments is made by credit card or debit card on application.

Post : - Cheque or Postal Order.

Cheques should be made payable to Cumbria County Council.

Cheques that are made out to any other payee will be returned to sender and the application can not be processed.

In Person - Cash/Cheque/Postal Order/Debit Card/Credit Card

If you have paid in cash for your certificate and we are unable to find the entry,  you will be required to collect the cash from the office where the payment was made as we are unable to post out cash.

We offer 2 service levels for all our certificates

1.    Priority Certificates 

If ordered by 3pm they are issued by close of business the same day.

If ordered after 3pm they are issued the following business day by 4pm.

Once issued Priority Certificates are posted by Royal Mail 1st Class post.

We do not accept any liability for items once they are in the hands of the postal service, alternatively you may wish to upgrade the postage as follows or collect in person.

Confirmed Delivery

If is also possible to have your certificate delivered by Confirmed delivery.  This service aims to deliver your order the next working day and gives you the added benefits of, proof of delivery including a signature from the receiver, the ability to check on line or on your mobile to see when your item has been delivered and compensation cover up to £ 50 for loss or damage. Confirmed delivery - This can be selected at an additional cost of £ 2.50 in your basket

Priority Delivery  Guaranteed by 1pm- Priority Certificates only

If you require your certificate urgently it is possible to to select the Priority delivery. This service aims to deliver your letter the next working day before 1pm and gives you the added benefits of, proof of delivery including a signature from the receiver, the ability to check on line or on your mobile to see when your item has been delivered and compensation cover up to £ 50 for loss or damage. Please see the Royal Mail for more information. This does not include Saturday delivery.

Priority Certificate - Collect in Person 

Orders placed prior to 3pm Monday to Thursday will be available to collect from 9am the following business day.

Orders placed on a Friday prior to 3pm will be available to collect from 1pm on Monday.

Orders placed on Saturday and Sunday will be available to collect from 1pm on Tuesday.

Standard Certificates - Collect in Person

Orders will be prepared within 15 working days. (In Cumbria we endeavour to prepare them within 10 working days).

We will call you on the telephone number provided to advise when your order is ready for collection.  Please ensure you have provided a suitable daytime contact number, this may be a mobile rather than a landline.

Collections are from 9am to 4pm Monday to Friday, excluding Bank Holidays

Please note:

The above timeframes cannot be guaranteed.  We have an excellent customer satisfaction record however in extreme circumstances it may not be possible.  Delivery of your order is the responsibility of Royal Mail.  Any claims would be through their compensation scheme as detailed on their website.  Cumbria County Council does not accept liability for postage.


Your full name, address & daytime telephone number in case we need to contact you regarding the request.

We encourage you to provide a separate cheque for each certificate application. This avoids any delay should there be a problem locating an entry if several are requested.  Otherwise we can only issue the certificates once all entries are found. This is especially important if the requests are for family history entries.

The Registration district where the event took place. This must be within Cumbria.

The exact date of the event or for family history purposes a minimum of the year and quarter are essential.

Full names of the parties involved where possible otherwise we can not ensure the correct entry will be issued.

IMPORTANT INFORMATION REGARDING MARRIGE ENTRIES

If the request is a marriage certificate then you must provide the exact place name i.e. the register office or the name of the church.  

This is very important for the location of the entry.  We are unable to process certificates that do not include this information.

If for whatever reason we are unable to produce the certificate then we will refund you the amount you have paid.
